Privora’s operating perspective

Start with the work someone must continue

Before a colleague goes on leave, the team often receives a folder link and a brief status message. Those may identify where the files are without explaining which version is current, what the client is waiting for or who can make the next decision.

For Nigerian privacy teams and advisory firms, a useful year-end handover makes that context visible. Choose one service, engagement or open workstream and prepare a record that the covering colleague can read without needing a second conversation. Use the guide to test the handover with the person who will actually pick it up.

Describe the current position honestly

Write a short account of what has been completed, what is in review and what is waiting on someone else. Link to the relevant evidence or decision record through the team’s normal access arrangements. Explain any unresolved assumption that could change the current position.

Avoid treating “sent to the client” as equivalent to “reviewed” or “closed”. Those are different stages of work. A clear description allows the covering person to decide whether to follow up, seek a review or simply retain the item for the agreed next check.

Build a handover that answers six questions

Keep the record short enough to use. The detail should help the next person make a sensible first move, rather than duplicate every document in the engagement.

  • What is the current position, and when was it last checked?
  • Which evidence or decision record supports that position?
  • What question or action is still open?
  • Who owns the next step, and who covers it during leave?
  • What date or change should trigger the next review?
  • Who should the covering colleague contact if a decision is needed?

Test the handover before the team breaks

Ask the covering colleague to walk through one open item. Can they find the right record, explain the next action and identify the person responsible? Any point that requires a separate explanation is useful feedback on what the handover still needs. Confirm access through the normal process without widening access simply for convenience.

For an advisory firm, keep the client-facing update consistent with the internal working record. For an internal team, check that the service owner and privacy lead share the same understanding. Set the next review before closing the handover discussion.

Privora is built around this continuity in Privacy Operations: evidence, ownership and next steps that remain understandable as work moves between people. Bring one client handover to a guided Privora Pro pilot if your team would like to explore that workflow together.
